Collection and use of personal data from clients, suppliers, and other goods/service providers

Please be aware that we will collect and use any personal data that you provide to us, as this is required to conclude or execute any potential contracts with you. This applies to current and prospective clients as well as any party from which we purchase goods and/or services.

If you are a current or prospective client of ours, we use your information to send you a quote, determine the specifications or preferences that a specific item or service must satisfy, deliver products or conduct work for you, bill you correctly, and communicate quickly and efficiently with you regarding the practical execution of the contract.

If you are a current or prospective supplier or other goods/service provider, we require your personal data to conclude and execute a contract as well. We require this data during the procurement process in order to inform you of the specifications or preferences that we feel a specific item or service must satisfy, send a request for quotation, place an order with you, pay your invoice, and communicate quickly and efficiently with you regarding other aspects of the contract.

You are not required to provide us with your personal data. However, if you do not provide us with enough personal data or any personal data at all, we may not be able to conduct the work specified above.

Forwarding data to third parties

For the purposes of executing a potential contract with you, we may have to provide your personal data to parties who supply us with components, materials, or products or who are commissioned by us to perform work. We also use an external server area to store our sales and procurement records, which contain your personal data. As a result, your personal data will be given to our server-area provider. We also use Microsoft Office and its included storage options for emails and other files.

Direct marketing

If you consent to it, we will retain the personal data you provide and use it to personally email you in the future in order to update you on new and existing products and services as well as provide you with any offers. Whenever we send you a marketing email, you will have the option to unsubscribe from our mailing list. To do so, click the unsubscribe link at the bottom of the email.

Personal data retention period

If you request a quote from us, but ultimately do not become our client, we will delete your data no later than one year after the last time we communicated. If we receive a quote from you, but ultimately do not become your client, we will also delete your data no later than one year after the last time we communicated. If you do become our client or we become yours, we will retain your personal data for seven years from the end of the financial year in which our contract with you was executed. This seven-year period corresponds to the length of time that the Netherlands Tax Administration (Belastingdienst) requires us to retain our accounting records. Once this period has expired, we will delete your personal data.

Your rights

You are entitled to request access to your personal data. If necessary, you can also request that we add information to your personal data or correct any errors. Furthermore, you are entitled to request that we delete or restrict the usage of your personal data. You can also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Lastly, you can request that we provide your personal data to you or transfer it to another party.
